Project Overview

Reception teams across several clinics spent most of their day on the phone rearranging appointments. MediSync answers those calls, confirms identity against the practice system, offers genuinely available slots and books them — while routing anything clinical straight to a person. Reminder and waitlist handling run automatically, which measurably reduced empty chairs.

The Challenge

Reception was saturated by scheduling calls, and late cancellations left slots empty because nobody had time to work the waitlist.

  • Call volume peaked far beyond what reception could answer, so patients waited or gave up.

  • Late cancellations frequently went unfilled, wasting clinician time.

  • Reminder calls were made manually and inconsistently.

  • Any automated system had to be unambiguous about not giving clinical advice.

Solution

What We Built

We scoped the assistant tightly to scheduling, integrated directly with the practice management system, and made escalation immediate on anything clinical.

  • Constrained the assistant to scheduling intents, with hard transfer rules on clinical topics.

  • Integrated with the practice management API so availability and bookings are always real.

  • Provisionally held slots during the conversation to eliminate double-booking.

  • Automated reminders across voice and SMS with single-step responses.

  • Built waitlist backfill that dials candidates in priority order the moment a slot opens.
